To provide support in the logistics of the events and support in team in the daily running of the office, we are looking for a Logistics Assistant.
Responsibilities:
• Checks availability venues, book and confirm requirements
• Contacts suppliers and book their services for the events
• Prepares purchase orders, seeks approval and dispatches to suppliers
• Follows up with suppliers to ensure timely delivery of goods and services and takes up logistics coordination responsibilities as and when required
• Provides administrative support to events team
• Prepares cost estimates on expenditures and keeps suppliers’price listing updated
• Prepare material needed for the events (badges, nameplates, documentation, signage and other material needed)
• Takes care of set up before the event and assist onsite during the event
• Maintains contacts information database
• Provides support in participant mailings and registrations for the events
• Research of contact details of relevant audiences
Desired Profile:
• Experience in organizing events is an asset
• Fluency in spoken & written English and French is essential
• Hands on, organized, with strong attention to detail
• Ability to work with minimum supervision
• Excellent social skills
• Superior computer skills with very good knowledge of Word and Excel
