RECEPTIONIST
Local agent, group IV
Overall Purpose:
Assisting the Head of Administration on reception tasks, as well as secretarial, organisational and administrative tasks.
Functions and duties:
- Performing the functions of the receptionist.
- Archiving and filing of documents.
- Follow up of the agenda and deadlines, photocopying, scanning, dispatching telephone calls.
- Organise meetings and making appointments, logistical and organisational tasks such as booking of meeting rooms, guests registration.
- Administrative tasks regarding the organisation of the section and the staff.
- Preparation of supporting documents required for payments.
- Preparation of payments and follow-up of the files.
- Preparation of files for tender.
- Any other tasks indicated by the hierarchy.
JOB REQUIREMENTS EDUCATION AND TRAINING
Completed higher education with pertinent experience.
EXPERIENCE
- At least two years of working experience as a secretary/receptionist or an administrative assistant, preferably in an Embassy, an international organization or a major international company.
KNOWLEDGE
- Thorough knowledge of basic receptionist/secretarial and assistant tasks.
- Ability to work in a proactive and autonomous way.
- Fully computer literate.
SKILLS
Linguistic skills
- Fluency in English and Russian, both orally and in writing.
- Knowledge of French would be an asset.
Organisational skills
- Ability to communicate clearly in English and Russian.
- Capacity to report unmistakably and concisely.
- Excellent ability to work in a team.
- High level of organization and priorities.
