The Delegation of European Union to the People’s Republic of China is looking for an Office Clerk of Chinese nationality to work for the Procurement Sector in the Administration Section (unlimited period of time contract linked to legal probationary period)
Under the supervision of the Head of Administration and the direct supervision of the Procurement Officer, to perform various administrative tasks for the secretariat of the Procurement Sector of the Administration Section
Functions and Duties:
- Arrange and administer files in the sector
- Assistance in daily matters of work including logistics
- Prepare letters, e-mails and transmission of documents to various stake holders
- Liaise with Operational Initiating Agents (OIAs), collect information, and organize meetings
- Take notes and prepare reports
- Assist in translation/interpretation whenever required
- Be in contact with Delegation suppliers and potential economic actors
- Monitor the sector’s databases
- Manage ABAC-Contracts entries and follow-up
- Participate in any training on procurement issues at central level (HQs) or regional level (regional procurement seminars)
- Arrange central filing/archiving of any binding document issued through procurement procedure (original of contracts, purchase orders, …) to be kept in the Head of Administration office
