Programme Assistant, GS and Administrative Assistant, GS (two positions) – IRENA

International-Renewable-Energy-Agency-IRENA-logoThe International Renewable Energy Agency (IRENA) is an inter-governmental organisation mandated with the widespread and increased adoption and sustainable use of all forms of renewable energy. At present, IRENA has 140 Members (139 States and the European Union) that acceded to its Statute, and 32 additional States in the process of accession and actively engaged. IRENA supports countries in their transition to a sustainable energy future, and serves as the principal platform for international cooperation, a centre of excellence, and a repository of policy, technology, resource and financial knowledge on renewable energy. The Agency implements its mandate with the view to sustainable development, increased energy security and low-carbon economic growth and prosperity.

IRENA Innovation and Technology Centre (IITC) is responsible for the provision of the means for an accelerated renewable energy technology uptake, considering national conditions of resource endowment, social and economic frameworks. In accordance with the IRENA Statute, activities in this field include analysis of renewable energy technology policies; dissemination of information and increased awareness; technologies and equipment overview and assessment of success-failure factors; improved pertinent knowledge and technology transfer, and joint RD&D and provision of information about the development and deployment of national and international technical standards in relation to renewable energy.

Programme Assistant

Under the supervision of the Senior Programme Officer, the Programme Assistant will provide general office assistance and will, in particular:

  • Serve as focal point responsible for administrative coordination of programme and project implementation activities, liaison with diverse units in the organization to initiate requests, process and follow-up on administrative tasks such as project budget management, travel arrangements, coordination of publications and procurement of equipment and services, etc.;

  • Provide procurement, logistical and administrative support, monitor status of existing requisitions, maintain contact with suppliers to ensure timely delivery of goods and services, coordinates shipment of goods/commodities/equipment to HQ and worldwide, verifies receipt and inspection of deliverables and accurately reports, as and if required;

  • Draft, format, edit correspondence/presentations, proof-read technical documents; prepare and update progress reports, briefing notes, graphic and statistical summaries;

  • Support the organization of substantive events, meetings and workshops, including agenda preparation, drafting minutes, overseeing budget, travel and logistical aspects;

  • Perform other duties as required.

Administrative Assistant (HR/Budget)

Under the direct supervision of the Director of IITC and within delegated authority, the Administrative Assistant will be responsible for the following duties:

  • Serve as focal point responsible for overall coordination of HR and budget related queries;

  • Draft requests, ensure that data in budget application are accurate and ensure follow up with Budget and HR office;

  • Generate budgetary reports on ad-hoc basis for senior management review;

  • Undertakes research on a range of HR related issues and draft and/or process a variety of notes/reports in coordination with HR office;

  • Perform a variety of administrative duties as required, including operational travel programme, monitoring accounts and payment to individual contractors for services; physical space planning;

  • Coordinates extensively with IITC units and liaises frequently with staff both in Bonn and at Headquarters in Abu Dhabi;

  • Performs other duties as required.

Qualifications

Education: High school diploma or equivalent. Post-secondary education/courses in IT/administration would be an asset.

Experience: Five to seven years of progressively responsible experience in the field of project and office management, HR, budget, finance, procurement or other related field. Experience working in international organizations is an asset. Excellent computer skills in Windows environment, knowledge of internet communications and command of MS Office applications (Word, Excel, and Power Point).

Language: Excellent command of written and spoken English is required. Knowledge of other languages is desirable.
