The European Union (EU) is an economic and political partnership between 28 European countries. It plays an important role in international affairs through diplomacy, trade, development aid and working with global organisations. Abroad, the EU is represented through more than 140 diplomatic representations, known also as EU Delegations, which have a similar function to those of an embassy.
The EU Delegation to China is responsible for the conduct of official relations between China and the European Union. In all matters pertaining to the European Union, the Delegation works closely with the diplomatic missions of the EU Member States, particularly the one representing the EU Presidency, which changes every six months.
We offer
We offer a post of an Assistant. The contract will be a temporary contract of four (4) years. Upon recruitment, the successful candidate will occupy a specific job function as an Assistant to education and cultural counsellor – this job function may be adapted in accordance with the needs of the Delegation. Under this job function the successful candidate will serve as support staff to:
- COMMUNICATION and PUBLICATION – Communication actions: Information gathering and
- Provide assistance by maintaining the diary, answering the telephone, filtering calls and taking messages, responding to general inquiries and managing the e-mail exchange and calendar, maintaining databases of contacts, using different Delegation databases and reservation systems.
- Take, transcribe and prepare notes, minutes, routine correspondence, presentations and / or other texts.
- Manage information and procedures on missions.
- Build up and maintain contacts in relevant ministries and bodies.
- Contribute to analyses and reporting on EAC relevant issues.
- Contribute to the preparation and implementation of the Experience Europe public diplomacy campaign, and outreach activities.
- Carry out other tasks as requested by the line manager.
- OPERATIONAL and ADMINISTRATIVE SUPPORT and RESOURCES – Logistics support and meetings organisation
- Arrange programmes and logistics for visiting officials from Brussels.
- Handle practical aspects of organization of cultural and promotion events (workshops,
seminars, cultural performances etc.)
- Ensure coordination of meetings and joint projects with MS and liaising/networking with schools/ universities, cultural stakeholders and youth groups.
- Provide support for the organisation and reporting of meetings, including reservation of
rooms, interpretation facilities and reception and security arrangements.
- Prepare slides and spread-sheets and documentation for interpreters; compile handouts and follow-up of minutes.
- Translate / interprete Chinese (Mandarin) – English and vice versa.
- Contribute to the preparation and implementation of the Experience Europe public diplomacy campaign, and outreach activities..
- Carry out other tasks as requested by the line manager.
- OPERATIONAL and ADMINISTRATIVE SUPPORT and RESOURCES – Documents and files process management
- Process, create, keep up to date and retrieve dossiers, documents and data in the appropriate files or IT databases.
- Organize and prepare briefing files for meetings, conferences and committees.
- Ensure processing of documents for transmission.
- Carry out other tasks as requested by the line manager.
under the supervision and responsibility of the education and culture Counsellor.
Place of employment is located in China, Beijing. The weekly working hours are 37.5h. Starting basic gross salary of a LA II is 18060 CNY. Selection Criteria
Minimum Requirements:
- Medically fit to perform the required duties;
- Enjoys civil rights and permits for employment under local law;
- Fluent Chinese (mandarin) and English, written and speaking, with good translation and interpretation skills;
- Minimum high school degree;
- At least 3 years’ work experience in a relevant field;
- Capacity and willingness to cope with office management tasks and with substantial policy issues.
